Find a time

From the question to a booked visit, on one screen.

The question on the phone is always the same: when is the next opening? The calendar answers it for every provider at once.

  1. 01

    Pick a visit type

Choose the kind of visit the caller needs. Every provider you are viewing who offers it is checked at once, by day or by week.

  2. 02

Watch the open slots light up

Times that fit the visit's length, buffers, and notice rules appear on the calendar, across every provider in view.

  3. 03

    Click one to book

The booking opens with the provider, visit type, and time filled in. Add the patient and their other visits are checked too.

  4. 04

    Change it later

Reschedule or cancel from the appointment, or drag it to a new time on the grid. Staff can also book visit types members cannot.

Member self-booking

Members book themselves, inside the lines you draw.

In your practice's app, members choose from the visit types you have opened to them, then see the open times with their provider. They pick one, add a reason if they like, and book. They can reschedule the same way, and cancel too if you turn on online cancellation.

They book against the same availability your staff sees, so the front desk and the member never compete for a slot the other cannot see. A member's other visits are respected too: nobody gets two appointments at once.

Visit types you keep for staff never appear. If you have not opened any, members are asked to send a message and your team finds the time.

Book visit

Provider hours

Each provider keeps their own hours.

Set weekly windows for each provider, and which visit types each one offers. A clinician might see annuals Monday through Thursday mornings and take phone check-ins on Friday afternoons.

Add a date override for a vacation, a conference, or an extra Saturday clinic. Open times for that day change everywhere at once, for your staff and for members.

Owners and administrators see every provider; clinicians see their own calendar and can manage their own hours. Everything runs in your practice's time zone, and members see times in it too.

Visit types

Your rules, set once per visit type.

Length and buffers
Set the duration, time held before and after, and the interval between start times. A 60-minute annual can start on the hour while a 15-minute call starts every quarter hour.
Notice and horizon
Set the minimum notice before a visit can be booked and how many days ahead it can be. Nobody books an annual for twenty minutes from now.
Cancellation window
Choose how much notice members need to give. Inside that window, they cannot cancel or reschedule the visit online.
How it happens
In person, video, phone, or home visit. Add a location and instructions, and members see them on the visit before they arrive.
Reminders
Pick when reminders go out before the visit, and whether they arrive by email, push notification, or both.
Who books, who confirms
Open a type to member booking or keep it for staff. Require confirmation and the visit is booked unconfirmed, and the member is asked to confirm they will be there.

Video visits

Video visits, built in.

Every video visit gets a call with nothing to set up. The clinician starts it from the appointment in the browser. The member taps Join video visit and the call opens right in your app or on your patient portal, or staff copy a secure join link the member opens in any browser, with no account to create.

Only the clinician on the visit can host or end the call, and join links expire. Calls run in our AWS account, and no patient names or details are sent to the video service.

Clinicians who prefer Zoom can connect their own Zoom account and host there instead. Zoom start links are never handed out, and your Zoom plan and its terms stay yours.

Your EMR

A calendar of its own, beside your EMR.

Visits booked in Practice Portal live on Practice Portal's calendar. They do not overwrite your EMR's schedule, and no visit is written into it.

If you use Elation or Cerbo, your chart data keeps coming in for the care team. How the EMR connection works.

Early access
