Features · Memberships and billing

Membership billing,
paid into your own Stripe.

Plans priced the way you already price, households billed as one, and members who pay by card or bank account in your portal. When a card is declined, it is retried, the member gets a link to pay, and a grace period can keep them a member while they sort it out.

How it works

From your Stripe account to a paid invoice.

You set the prices. Stripe moves the money. Practice Portal keeps track of who owes what.

  1. 01

    Connect your Stripe

Your owner, an administrator, or a billing specialist creates your practice's connected Stripe account and finishes Stripe's own onboarding. You start charging once Stripe enables payments on the account.

  2. 02

    Build your plans

Set the pricing model, the rates for each kind of member, and how often you bill. Every change to a plan is saved as a new version.

  3. 03

    Enroll members

Enroll one person or a whole household. Each member's role in the household sets the rate they are billed.

  4. 04

    Invoice and collect

Invoices go out on your schedule. Members pay in their billing portal, or autopay collects from the card or bank account they chose.

Paid into your Stripe

Members pay your practice. Card numbers stay with Stripe.

You connect your practice's own Stripe account, and every payment lands there. Members pay by card or US bank account. Card and bank details go directly to Stripe and never touch Practice Portal. Bank accounts are verified through Stripe when the bank asks for it.

In the billing portal, members see their memberships and benefits, open invoices and download PDFs, pay what is due, and turn on autopay. Changing the default payment method or turning autopay on or off asks them to confirm first, in plain words, so no one agrees to automatic charges by accident.

Your card and bank details go directly to Stripe.

Failed payments

A declined card should not cost anyone their membership.

When a card on autopay is declined, it is tried again one day later, then two days after that, then seven days after that. The member gets an email with a link straight to the invoice in their billing portal, and your staff see the failure on the billing thread.

Give a plan a grace period and the membership stays active while the member updates their card. For a larger balance, split it into a payment plan of 2 to 24 installments, charged to their saved payment method on the dates you set.

Plans

Price it the way you already do.

Three pricing models
Flat, per-member, or tiered. One price for the household, a price for each person, or one price for the first member and another for each one after.
Rates by member
Separate adult, child, dependent, and add-on rates, with age limits where you need them.
Your cadence
Weekly, monthly, or yearly. Bill in advance or in arrears.
Versioned plans
Change a plan and it becomes a new version. Earlier versions are kept, so you can see what changed and when.
Scheduled changes
Changes to a membership take effect on the date you set, not the day someone remembered.
Coupons
Percentage or fixed-amount discounts.
Credits
Credits sorted into categories, each with its own expiry.
Prepaid packages
Sell a bundle of services up front and redeem it visit by visit.
Sponsorships and coverage
An employer or another third party can sponsor a member's plan. Coverage rules decide what is covered.

Households

One family, one household, one bill.

Your administrators group patients into households, each with exactly one primary and every other member marked adult, child, or dependent. A patient belongs to one active household at a time.

The household drives the membership. Its members are the people on the billing account, and each person's household role sets the rate they are billed. A role cannot change under someone who is enrolled in an open membership, so an invoice never shifts without a decision.

Being in a household does not open anyone's chart. Portal access is still an explicit grant, given person by person and revocable, so billing Raj with Sarah never lets Raj read her messages.

Stay in touch

Newsletters from your practice, and the dates that matter.

Write a newsletter in a visual editor, preview it, send a test to yourself, and schedule it. Send it to members by plan, membership status, primary clinician, or whether they use the app. The list is drawn when the send starts, so a member who joined on Monday gets Tuesday's issue.

Each practice sends through its own isolated setup, apart from your appointment and account email, so one practice's bounces never touch another's. Every issue carries your address and one-click unsubscribe. There is no open tracking: no pixels in your members' inboxes.

Birthdays, membership anniversaries, and renewals surface on your practice hub, so the personal note goes out on the right day.

The details

The rest of the billing desk.

Refunds, disputes, and payouts
Tracked end to end from Stripe, with an audit event for every change.
Invoices with revisions
Revise an unpaid invoice with a reason. The before and after are both kept, and an issued invoice is reversed and reissued, never edited in place.
A double-entry ledger
Invoices, payments, and refunds post balanced entries to a ledger. Your billing reports are built from it.
Offline payments
Staff record a payment taken in person, like a check at the front desk, against the invoice. Members cannot mark their own invoices paid.
Receipts for every Stripe call
Each write to Stripe records what was sent, what came back, and whether it matched. Retries never double up.
Who can change what
Owners, administrators, and billing specialists make billing changes. The rest of your staff can see billing without editing it.
